In Part 1 of this series, we look at visitor management systems and how they can benefit an organization and its visitors.
At the most basic level, a visitor tracking system is a means by which to keep track of who has been at a facility by writing down names and dates into a logbook on the front desk. Add to it a name tag stuck to an outer shirt or jacket of the visitor and you have a basic a visitation log. Today, many companies and organizations are finding reasons why a change to a true visitor management solution is appropriate for modern visitor tracking.
While modern visitor management systems still track who was at the facility and when, they also do a lot more. For example, visitor management systems played a key role in contact tracing during the early stages of the Covid-19 pandemic. With the visitor management system in place, organizations could quickly identify which visitors were in the facility on a given day at a specific time.
Today, they also limit in-person interactions, save time, and reduce friction in the lobby.
In-person interaction at the front desk is reduced by allowing visitors to register, or employees to register them on their behalf, in advance of their visit. This allows information to be vetted in advance of the visitor’s arrival. It also cuts their visitation time in the lobby significantly.
Employee time is saved by having the system automatically notify the host after the visitor has been fully vetted, rather than upon arrival. On the other hand, a host may want to know when a visitor’s vehicle arrives so that special accommodations can be in place and the visitor can be appropriately greeted. This can be accomplished in applications where the parking lot is observed with a license plate camera that is integrated to the visitor management system. Upon arrival of the known vehicle, the system automatically compared the license plate to the known database which generates an alert for the host.
Integration to the access control system at the facility can also deliver previously unrealized benefits when it comes to tying the control of doors leading to secure areas to the visitor’s identification card.
